Every production is different. The proposal and signed agreement created for your project control the work. This page explains the standard structure so you can understand the process before you inquire or sign.
Reading this page or sending an inquiry does not create a contract or reserve a date.
01Scope comes first
The project-specific agreement identifies the assignment, date, location, coverage, deliverables, delivery target, production responsibilities, fees, and license. Changes after signing may require a revised scope and additional fee.
02Booking + payment
A signed agreement and 50% nonrefundable retainer reserve the date. Unless the project-specific agreement states otherwise, the remaining balance is due 10 calendar days before production. Approved corporate or institutional clients using Net 30 processing must arrange payment early enough for funds to clear by the same deadline. RioViisuals does not begin production with an outstanding balance.
03Time + overtime
Coverage follows the agreed schedule. Approved time beyond the scope is billed in 30-minute increments at 1.5× the project hourly rate unless the project agreement states otherwise.
04Creative control
RioViisuals retains artistic discretion over direction, capture, editing, color, sequencing, and selection. Rio chooses the final delivered images; unedited files and every captured frame are not included unless expressly stated.
05Usage + licensing
Copyright remains with RioViisuals unless a written transfer says otherwise. The client receives only the usage license stated in the project agreement. Paid media, broadcast, packaging, outdoor, merchandise, resale, third-party use, and extended terms may require additional licensing.
06Client responsibilities
Unless RioViisuals is hired to handle them, the client provides accurate schedules, approvals, access, permits, credentials, shot priorities, property permissions, and participant/model releases needed for the assignment.
07Delivery + file storage
Delivery method, file types, expected quantity, turnaround, and any rush selects appear in the project scope. Download and back up final files promptly; long-term file storage is not guaranteed unless contracted.
08Rescheduling + cancellation
The final project agreement includes the dates, notice periods, weather plan, rescheduling terms, cancellation fees, force-majeure language, and any travel commitments that apply to that specific production.
09Safety + conduct
RioViisuals may stop or refuse work when conditions are unsafe, unlawful, harassing, discriminatory, or materially different from the agreed production. Any resulting obligations are handled under the signed agreement.
10Governing terms
The signed project agreement—not this web overview—is the controlling contract. RioViisuals agreements are governed by Michigan law, with venue in Wayne County unless the signed agreement says otherwise.
